Job Description

The Executive Assistant will provide high-level administrative support to senior leadership including the Chief & Council, Director of Operations, and other Program Directors, ensuring efficient operation of the executive office. This role involves managing schedules, coordinating meetings, handling communications, and preparing reports, presentations, and other documents. The Executive Assistant will act as a liaison between executives, staff, and external stakeholders, ensuring smooth and effective communication. Additionally, the position includes organizing travel arrangements, managing office supplies, and handling confidential information with discretion.

Department: Administration
Schedule: 35 hours per week

Job Duties and Responsibilities
  • Offer high-level administrative assistance to senior leadership (Director of Operations, Chief & Council, and other Program Directors), including managing calendars, schedule meetings, and prepare documents and reports for senior leadership while ensuring smooth communication with internal and external stakeholders.
  • Organize and facilitate meetings, community events, and cultural activities, ensuring all logistics and
    materials are in place.
  • Manage sensitive information with discretion as well as uphold confidentiality, respecting cultural traditions.
  • Contribute to organizational strategies, budgeting, and resource management, providing administrative support to leadership in decision-making.
  • Further, foster positive relationships with the community, support the integration of Indigenous cultural practices in work, and collaborate with community leaders and partners.
  • Oversee office operations, including managing supplies, tracking expenses, and ensuring organizational systems are in place to support smooth functioning.
  • Lastly, perform other duties as assigned.
Knowledge and Skills
  • Strong organizational, time-management, and multitasking abilities. Excellent written and verbal communication skills. Strong problem-solving skills and the ability to adapt to changing priorities and manage unexpected situations.
  • Proficient in Microsoft Office Suite, Google Workspace, and scheduling tools. Experience with project management and communication platforms.
  • Moreover, ability to handle confidential information with discretion and maintain professionalism in all interactions. High level of professionalism, integrity, and a collaborative approach to teamwork.
  • Experience in organizing meetings, events, and travel arrangements. Ability to manage multiple projects and track deadlines.
  • Strong interpersonal skills to work effectively with senior leaders, teams, clients, and external partners.
Qualifications
  • High school diploma required; a Bachelor’s degree preferred. Several years of experience in administrative roles, supporting senior leadership.
  • Successful completion of a Criminal Record Check
