Position Summary:

The Office Manager will be responsible for overseeing office operations, maintaining office supplies, managing schedules, and ensuring that daily administrative tasks are completed efficiently. This role requires strong organizational skills, the ability to multitask, and excellent communication abilities. Moreover, the ideal candidate will support the administrative team helping to create a productive and positive office environment.

Key Responsibilities:
  • Oversee and manage the day-to-day operations of the office, ensuring smooth workflow and efficient office procedures.
  • Manage office supplies including inventory, ordering and restocking as needed.
  • Coordinate and schedule meetings, appointments, and company events.
  • Serve as the main point of contact for staff, clients, and vendors, handling inquiries and providing necessary information.
  • Assist with accounting and bookkeeping tasks, including invoicing, payroll, and financial recordkeeping.
  • Manage incoming and outgoing communications (phone calls, emails, and correspondence).
  • Maintain and organize filing systems (both physical and electronic) for contracts, documents, and other records.
  • Support human resources functions, including assisting with new employee onboarding, benefits administration, and maintaining personnel files.
  • Handle sensitive and confidential information with professionalism and discretion.
  • Other administrative tasks and duties as required to support the team and business operations.
Required Qualifications:

Proven experience as an Office Manager or in other administrative positions, preferably within the construction or mechanical contracting industry.

  • Strong proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience with accounting software or an ERP is an asset
  • Excellent organizational and multitasking skills.
  • Further, strong communication skills (verbal and written).
  • Ability to work independently and as part of a team.
  • Detail-oriented with a high degree of accuracy.
  • Additionally, strong time-management skills and the ability to prioritize tasks effectively.
  • High school diploma or equivalent required; associate’s degree or higher in business or related field preferred.
